Preparing a Horizon Europe Green Deal proposal for the 4 February 2025 deadline? Let’s get started!

Less than three months are left until the submission deadline for a total of 15 energy- and building-related call topics on 4 February 2025. We are convinced that with careful planning, a high-quality proposal can still be prepared in the remaining time. These are the open call topics:

Timeline

While 2-3 months may seem like a long time, now is the time to get serious about your proposal – especially if you are planning to spend Christmas with your family instead of your consortium partners.

Be aware, that this time of year poses special additional challenges, as it is usually a very busy time for all your consortium partners and many of them are likely to be absent for holidays for a substantial part of the remaining time. The proposals consist of a maximum of 45 pages (50 pages for call topics using lump-sum funding). The picture below is our idea of the ideal timeline for a smooth and streamlined proposal preparation process:

In more detail, here are the steps we recommend following to complete your proposal in time:

  1. Make sure the core partners are committed to the project.
  2. Register your proposal and all partners on the EC Funding & Tenders portal. For this step, each partner will have to have their own PIC.
  3. Collect the necessary information from partners for inclusion in Part A (online forms) and the cover page. As part of this step, you will have to designate the lead for each partner.
  4. Define the basic work packages (WP) with key deliverables, milestones and risks/mitigation measures.
  5. Draft your Excellence chapter covering the current state-of-the-art and the proposed innovation or beyond the state-of-the-art (section 1).
  6. Set up the rough budget breakdown and start collecting the budget details from all partners.
  7. Draft your Impact chapter (section 2).
  8. Complete the Implementation chapter (Section 3). In addition to the work plan elements (WPs, Gantt chart, deliverables, milestones, risks) it also requires budget tables and a description of the consortium as a whole.
  9. Review your proposal, making sure it addresses all requirements of the call topic.
  10. Submit the final proposal via the EC Funding & Tenders portal. The proposal must be submitted as a PDF file. Make sure you have a good look at the file before submitting, there is always the possibility of errors when exporting.
